We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will have excellent communication skills, be proficient in administrative tasks, and be able to handle multiple responsibilities simultaneously.
As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office.
The Administrative Assistance duties include providing support to our managers, employees, programs, and contractors, assisting in daily office needs and managing our company’s general administrative activities.
*Requirements*
* Proven experience as an office manager or office admin assistant
* Previous experience in an administrative role is preferred
* Knowledge of office management systems and procedures
* Working knowledge of office equipment, like printers, fax machines, and scanners
* Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel), Google Suite (ie.
Google Drive, Google Sheets).
* Ability to prioritize, multi-task, and demonstrate excellent organizational and time management skills.
* Attention to detail and problem-solving skills
* Effective communication skills and ability to work independently and/or in a team setting
* High School Diploma/GED Equivalent;
* Additional qualifications as an Administrative Assistant or Secretary will be a plus
* Self-directed, motivated, and able to work with minimal supervision
* Demonstrate flexibility and ability to adapt to change
* Motivation to take on additional projects and offer solutions
* Comfort in a fast-paced environment with multiple projects
* Excellent verbal and written communication skills
* Attention to detail and accuracy in completing tasks
* Ability to maintain confidentiality of sensitive information
*Responsibilities*
* Answer and direct phone calls
* Organize and schedule assessments
* Stock office items/bathroom/lobby
* Plan meetings and take detailed minutes
* Write and distribute emails, correspondence memos, letters, faxes, and forms
* Assist in the preparation of daily, quarterly, and annual reports
* Develop and maintain a filing system
* Maintain inventory, store purchases, and research new deals and suppliers
* Maintain employee contact lists
* Adhere to confidentiality rights and expectations for clients and families
* Assist clients with the intake process
* Submit and reconcile expense report
* Provide general support to visitors
* Act as the point of contact for internal and external clients
* Liaise with leadership and CEO to assist with daily operations of organization
* Adhere to professional standards as outlined by protocols, rules, and regulations
* Create and manage bill system
* Scheduling appointments with clients
* Regular interaction with clinical and leadership teams
* Completion of daily reports
* Other duties as needed and/or assigned
