Full Time non-exempt position is responsible for the overall recruitment, training, coordination and management of Lily Creek Farms Volunteers.
Responsibilities include recruiting, training, supervising and recognizing Lily Creek Farms volunteers; performing administrative duties necessary for the implementation, operation and evaluation of the Volunteer Program; working closely with Program Staff to ensure quality, effective and seamless services; providing training and supervision necessary for volunteers to be able to fulfill their roles; and ensuring a safe and welcoming environment.
This position is required to work some weekends and evenings.
This position can be physically demanding and requires the ability to mount and dismount participants weighing up to 200 pounds; running and standing in arena footing; and working outside in all weather.
Essential Duties Volunteer Recruitment: o Coordinate and conduct ongoing community outreach efforts to recruit new volunteers to serve at the barn and to support special events o Network with other community organizations for volunteer recruitment o Respond to initial contact from potential volunteers; send out applications o Review incoming applications and schedule applicants for orientation o Encourage existing volunteers to return for the following term o Recruit volunteers from existing volunteer base and from the community to assist with special events Volunteer Management: Maintain an environment conducive to volunteer safety Communicate with volunteers in a positive and respectful manner, promoting direct and ethical communication Solicit volunteer feedback and encourage volunteer interaction on a consistent basis Respond to all volunteer communication in a timely manner Lead all volunteer recruitment efforts Lead and coordinate training team meetings, schedules, and trainings Serve as support staff for instructors during class (e.
g.
,monitor weather, monitor rider and volunteer cancellations); designate another staff member when Head Instructor and you are not available.
Volunteer Training: Ensure quality volunteer performance through ongoing training, evaluation, and recognition Conduct monthly new volunteer orientations and initial training of volunteers Assist in conducting training for specific volunteer roles including sidewalking, horse handling.
With Executive Director and Head Instructor, identify and schedule volunteer continuing education opportunities Thoroughly orient and train new volunteers Lead New Volunteer Trainings Promote safe and effective volunteer performance Assist with horse handling clinics - at least one time per session Provide ongoing training and educational opportunities for volunteers Work with instructors to provide appropriate feedback to volunteers Volunteer Scheduling: Schedule volunteers to ensure all riders needs are met Ensure class coverage when volunteers are absent Post daily volunteer schedules and substitution assignments Accurately assess volunteer strengths for appropriate scheduling Ensure volunteers are not working beyond their ability level Coordinate with the Executive Director and Instructors to understand the volunteer needs of daily riding lessons, ground work and other programming, horse care and facility maintenance Track upcoming volunteer absences and arrange for substitute coverage Assist Executive Director with the scheduling of orientations Coordinate with Executive Director to understand the volunteer needs for special events Volunteer Recognition: Successfully implement volunteer appreciation activities; Once per session Foster positive “climate of belonging” among volunteers Ensure Volunteer of the Month selection and recognition Ensure Volunteer of the Year selection and recognition Administrative: Maintain volunteer applications and ensure yearly updates Conduct effective volunteer program evaluations Maintain volunteer name tags Maintain and update volunteer schedule, volunteer attendance, volunteer records, and Volunteer Training Manual Ensure all volunteer data is tracked in Salesforce database; produce quarterly and other reports on volunteer engagement Guide volunteers through background check process and ensure proper protocols are followed Communicate events and notices to volunteers via mail, email, phone and bulletin board Submit volunteer success stories to Executive Director for inclusion on enewsletter, Facebook posts, etc.
Attend staff meetings as required Other duties as assigned Program Maintenance: Assist in maintaining a quality therapeutic riding program at Lily Creek Farms Represent Lily Creek Farms to participants, volunteers, and to the public in a positive, supportive, and professional manner Ensure that all classes run smoothly, safely, and on time by providing support for fellow instructors including but not limited to general office support, arena set-up and take down, and helping with mounting/dismounting when necessary Maintain positive, productive communication with all staff regarding volunteer and program issues Be knowledgeable and qualified to handle operating center emergencies Professional Behavior: Represent Lily Creek Farms in a positive and professional manner.

Promote and support an effective team environment, including adherence to Ethical Communication practices with staff, participants, volunteers and community members.

Recruit a minimum agreed upon amount of new volunteers each month and strive for excellent retention.
Exemplify strong communication skills, oral and written (through in-person conversation, electronic communication, and written reports) with the entire team of stakeholders.
Ensure success of participants by providing adequate, well trained volunteers.
Work collaboratively with other staff members and with volunteers to ensure success of the team with a keen awareness of details.
Dependability in shift coverage with all duties as assigned being carried out with care, consistency, and intentionality to uphold standards of excellence.
Engage with stakeholders to create and maintain a culture of support, grace, and acceptance.
