The Office Administrator is a key conduit between members of the Parish, clergy and lay leadership.
The Office Administrator will provide pastoral services and assistance to parishioners, acting under the guidance of the rector, in a warm and welcoming manner.
They will have primary responsibility, working with the rector and lay leadership, for administrative activities in support of St.
Timothy’s worship, including timely and professional preparation of service bulletins, scheduling of services and events, and maintenance of accurate books and records, including records of baptisms, confirmations, weddings and funerals.
The Office Administrator will be the key liaison with members of the parish, the community, and service personnel who are engaged by St.
Timothy’s, and will be a resource for all who seek to interact with St.
Timothy’s or our ministries.
Specific responsibilities of the Office Administrator will include:
· Communicating in a welcoming and effective manner, in-person, by telephone and by electronic means, with parishioners, representatives of the diocese, governmental entities, members of the community, service personnel or others who have an interest in St.
Timothy’s or our ministries; coordinating and communicating with church volunteers, representatives of the Foundation or its ministries, and others who use St.
Timothy’s facilities; providing pastoral support with tact and discretion, under director of the rector, as needed; ensuring, within the capability of the Office Administrator to do so, that those who contact the office at St.
Timothy’s receive prompt, attentive responses to their needs or inquiry.
Elevating appropriate matters, including workload prioritization, to the rector, lay leadership, or other appropriate personnel, , the Treasurer.
· Timely, accurate and professional preparation of service bulletins and other communications or documentation relating to worship services, including funerals and weddings.
As directed by the rector, communicate with and coordinate supply clergy and musicians.
Prepare stewardship materials and other communications or documentation relating to the functioning of the church or Foundation, including but not limited to annual reports to the diocese or reports required by the government.
· Maintaining accurate and accessible records necessary for the functioning of St.
Timothy’s and our ministries, including but not limited to policies and procedures, contracts, and invoices, minutes of the vestry and parish annual meetings, inventories and asset lists, and for its sacramental and spiritual activities, , records of births, confirmations, weddings, funerals and records relating to the columbarium.
Maintain updated directory of members, including birthdays and anniversaries, both in hard copy and electronically if desired by vestry (, via Breeze).
Interfacing and supporting representatives of the Foundation and financial functions as directed by rector and vestry.
· Providing administrative and secretarial support to the rector.
Serving as office manager for St.
Timothy’s, including purchasing of appropriate supplies, consumables, and materials for worship support, in compliance with St.
Timothy’s procurement related policies; scheduling of services and facility usage under guidelines set by rector and vestry; overseeing maintenance of equipment such as the IT and technical equipment, printer, locks and alarms, kitchen appliances, etc.

· Managing primary schedule of, and oversee, facility maintenance, including routine and periodic maintenance; communicating and directing contractors and/or sextons with regard to facility care.
Ensuring facilities and furnishings are clean and in safe and operable condition, and bring any deficits to the attention of the rector or other appropriate personnel.
· Assisting vestry members in performing their functions and in maintaining continuity within the vestry through performance of essential functions set forth herein.
Maintaining electronic and hard copy files developed by vestry members in order to ensure continuity.
· Maintaining library and publications.
· Assisting with other appropriate projects as requested.
