*Job Description:*
This position entails three primary sets of duties:
(1) managing the clinic and departmental budgets and working with the department chair to coordinate the clinic and department budgets, and
(2) serving as the primary office manager for psychology academic programs, and
(3) working in conjunction with the Clinic Director to oversee the duties of the Psychology Clinic’s administrative assistant.
This role is responsible for operational (fiscal, administrative, personnel) management of the Department.
Manages the administrative affairs of the department consistent with the standards of performance that ensure University, College and department business standards and objectives are met.
Collaborating with the leader, establishes department business and administrative mission and goals, and optimal environment that supports the department and College’s academic and research programs/activities and services.
Provides leadership to ensure implementation of the Department strategic plan, as well as development of business plans for new programs.
Provides administrative support to the leader, faculty members and staff in the Department.
Impact on the Organization
1.
Managing the budget of the Psychology Clinic, which serves approximately 90 unique patients each year from the UT student body and greater Toledo community, for a total of approximately 600 appointments per year.
2.
Managing the budget of the department and serving as the primary Department Administrator for the psychology academic programs, which consists of approximately 400 undergraduate students, 45-50 graduate students, and 18 faculty.
*Minimum Qualifications:*
Education/experience/licensing:
• Bachelor’s degree in business or related field OR will accept a candidate with four to five (4-5) years of applicable experience in lieu of degree.
• Budget experience is required.
• Experience in a healthcare setting preferred.
• Collection/Billing experience preferred.
• Experience in academic programs preferred.
Communication and other skills:
• Must have working knowledge to operate a computer in a window-based environment utilizing various software programs such as Microsoft Word, Excel, Outlook, and electronic health record programs to produce and manage essential reports and correspondence.
Must be able to utilize computer keyboard proficiently.
• Experience using the Internet and online applications.
• Proven ability to work independently and prioritize and complete tasks within established
timeframes.
• Ability to carry out instructions provided in written, oral, or diagram form.
• Ability to develop and maintain professional service-oriented working relationships with patients, families, psychologists, co-workers, supervisors, and others.
• Ability to provide excellent customer satisfaction when presenting information and responding to questions from staff, patients, and the public.
Ability to deal with confrontation and/or a stressful working environment while maintaining excellence in customer service.
• Must be able to analyze data; calculate figures and amounts such as discounts, interest, and percentages; and add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.
